Streamlining Supply Chain Access: Understanding the E1 One-Time Code

3 min read

This guide is designed to help builders quickly and effectively communicate the secure access method for invited subcontractors on E1.

The One-Time Code (OTC) is E1's secure default access method for invited subcontractors who choose not to create or log in to an E1 account. It ensures project security while providing a low-friction way for them to access your tender documents and submit quotes.

1. How to Explain the One-Time Code to your Subcontractors

The key message to your subcontractors is that the One-Time Code is a simple, secure step to protect confidential project information.

For Subcontractors who:How to Access the Project: Main Benefits:
Do not have an E1 account (or choose not to log in)They must use the One-Time Code (OTC).Security and Simplicity: It's a quick, secure verification for access to confidential tender documents and submitting quotes.
Do have an E1 accountThey can log in directly to their E1 account.Efficiency: No code needed. Centralised tender management, profile-building, and more work opportunities.

Why the One-Time Code is required (Security & Compliance)

The One-Time Code is a critical security measure that protects the integrity of your tendering process and the confidentiality of your project data:

  • Verifies Identity: It ensures that only the intended recipient (the person invited to quote) can view confidential documents and drawings, and perform commercially sensitive actions like submitting a quote.
  • Best Practice Security: It's a method similar to two-factor authentication used by financial and government services.
  • 30-Day Access: Once a subcontractor successfully enters a code, they are verified for that specific browser/device for 30 days. They will not need to re-enter a code for any other E1 invitations from any builder within that period.

2. Quick Instructions to share with Subcontractors

If a subcontractor contacts you about trouble accessing the project, you can share these simple steps with them:

Subcontractor Steps to Use the One-Time Code:

  1. Click the button or link in the invitation email to access the project documentation.
  1. On the page that opens, choose the option to get a one-time code (if you don't want to log in). Do not close this page.
  1. A code will be sent to the original email recipient of the invitation. Check your main inbox, as well as Spam or other folders.
  1. Copy or remember the code, go back to the E1 page, and submit it. That's it!
  1. Tip: The verification lasts for 30 days on that device, so you won't need to do this again for any other E1 invitations from any builder for a month.
💡
Important Troubleshooting Note: If the invitation email was forwarded to another person, the One-Time Code will still be sent to the email address of the original invitee. The person who received the forwarded email must check with the original recipient for the code.

3. Directions to the Subcontractor Help Centre

For detailed, step-by-step guidance, please direct your subcontractors to the official E1 Subcontractor Help Centre (it’s different to the builder-facing help centre).
